Intact Technology Announces a System Authorization Access Request (DD2875) Workflow Automation Solution for Department of Defense

This solution, built by Intact, is available for customers in the ServiceNow FedRAMP Impact Level (IL) 4 approved Government Community Cloud (GCC).

The DD2875 form is used by DoD personnel to request authorization for official government information systems. For nearly 20 years, this has been a tedious, form-based approval process prone to delays due to complications with form validation and a lack of visibility into the process, resulting in an overall loss of productivity. Information system account requests are often buried in email inboxes and multiple approvals are required before accounts are provisioned. One of the biggest issues centers around form validation. Missing, incomplete, or incorrect information in the form causes extra work as requests are rejected and returned to users who have to restart the process. Obtaining account approvals can take several weeks or in extreme cases, months. On average, Intact’s solution cuts the time from request to approval in half.

Intact’s solution enables administrators and system owners to configure approval workflows for user account requests on a system-by-system basis. Each workflow can be configured based on the requirements of the information system owner, the scale of the user base, and the customer preference regarding data storage, approval requirements, and mandatory fields. Users can now generate a DD2875 via a catalog item within the ServiceNow Employee Service Center.

- Authentication Reciprocity: Depending on customer policy, users couldupload an approved DD2875 and leverage that approval across multiple systems, allowing administrators to rapidly sign off on requests in a secure and auditable manner.
- Track Request Lifecycle: Users can track the stage of their request as it flows from approver to approver (or back to them for further information).
- Compile Data: Users cangenerate a traditional DD2875 PDF, with signatures and populated with all stored data, upon request if required.
The solution is fully compliant with existing GCC security policies and is currently available as an add-on to users of ServiceNow. It is available as a fixed-price offering that can be acquired directly from an agency as a software subscription alongside their ServiceNow license.
